What your trade expects, and where it lives here

Built to the standard of the best systems in this trade

Dispensary

  • Prescription book

Every prescription is numbered and keeps its prescriber, patient, repeats allowed and a scanned copy of the script.

    Dispensary

  • Pharmacist's check

Nothing is dispensed until someone who may approve has signed the check, with the patient's recorded allergies in front of them.

    Dispensary

  • Earliest-expiry dispensing

Each line draws from the earliest in-date batch in the store and never from an expired one, with batch and expiry shown before you confirm.

    Dispensary

  • Owing balances

A part-fill records what is still owed to the patient and dispenses the rest later against the same prescription.

    Dispensary

  • Sale raised at dispensing

Dispensing issues the invoice at the product's price and tax class, with the M-Pesa code captured when the patient pays.

    Dispensary

  • Dispensing labels

An 80mm label per medicine with the patient, the directions in plain words, the batch and the expiry.

    Dispensary

  • Controlled-drugs register

Receipts and supplies enter the register on their own with a running balance; destruction needs a witness and entries are amended, never edited.

    Dispensary

  • Refills due

Repeats that are coming due are listed with the patient's phone, and one tap creates the repeat prescription.

    Dispensary

  • Expiry and returns

Batches expiring within 90 days on one screen, with a move to quarantine for return to the supplier or write-off.

    Dispensary

Till & payments

  • Counter sales in one basket

Medicines, supplements and sundries scanned or searched into one sale, on a phone, tablet or counter PC.

    Point of Sale

  • Cash, M-Pesa, card or mixed

Split payments with the M-Pesa code captured, and a branded thermal receipt.

    Point of Sale

  • Credit and insurer accounts

Corporate, insurer and trusted-customer accounts with limits, invoices, statements and ageing.

    CRM

  • Register sessions

Open with a float, close with a count; the owner is alerted and the Z-report is checked the same night.

    Point of Sale

Stock, batch & expiry

  • Batch and expiry on everything

New products default to batch tracking; every receipt records the batch number, expiry date and cost.

    Inventory

  • Expired stock cannot be sold

The till, invoices and deliveries draw the earliest in-date batch on their own and refuse a sale that only expired stock could cover.

    Inventory

  • Expiry watch

Batches bucketed at 30, 60 and 90 days, in time to return them to the supplier or discount them.

    Inventory

  • Perpetual inventory

Every sale decrements stock; counts post their variance as a reasoned adjustment — expired, damaged, recall, loss.

    Inventory

  • Reorder points and want list

A minimum per item and a low-stock report by supplier, ready to turn into an order.

    Inventory

  • Medicine classes and storage

Prescription-only, pharmacy-only, OTC and controlled categories, with legal class, dosage form, strength and cold-chain flags on each product.

    Inventory

  • Branch and store transfers

Dispensary, back store and branches as stock locations with transfers between them.

    Inventory

Purchasing

  • Wholesaler orders

Purchase orders to several suppliers, with approval above a threshold.

    Purchases

  • Receiving against the order

Goods received notes check the delivery, then the supplier bill is matched and paid.

    Purchases

  • Supplier balances

What is owed to each wholesaler, by age.

    Finance

Controls & reporting

  • Pharmacist, technologist, cashier

Named logins per role: a cashier sells and nothing else; stock and prices stay with the pharmacist.

    Settings

  • Compliance calendar

PPB premises and practice licences, county permits and register checks on one board with owners and due dates.

    Projects

  • Margin, fast movers and dead stock

Gross margin by item, the fastest sellers and the lines tying up cash.

    Reports

  • VAT class per product

Exempt, zero-rated and 16% items keep their own class on every line for eTIMS.
