What your trade expects, and where it lives here

Built to the standard of the best systems in this trade

Order entry & pricing

  • Quote to order to invoice

Orders are keyed against live stock and carried through delivery note and tax invoice without re-typing.

    Sales

  • Price tiers per customer class

Distributor, wholesale, retail, key-account and van-cash price lists; the customer's list prices the order.

    Sales

  • Customer classes and territories

Every outlet is tagged with its class, route and visit day, so lists and reports cut by them.

    CRM

  • New outlet pipeline

Prospect outlets move from first visit to account opened, with the rep who owns them.

    CRM

Van sales

  • Van load sheet

Write up what goes on each van, then one press moves the stock from the store to the van through the normal transfer, so the count and the ledger stay right.

    Van Sales

  • Loading cannot overdraw the store

A load bigger than what the store holds is refused, naming the product, the quantity on hand and the shortfall.

    Van Sales

  • Route call sheet

Today's customers for a route and visit day, each with phone, balance, credit standing and a one-tap link to invoice them.

    Van Sales

  • Night settlement

Count the van back in and the system works out sold, expected and variance per product against the day's invoices and till sales.

    Van Sales

  • Variance posted, stock returned

Whatever is missing is booked as a stock adjustment on the van and the counted stock is transferred back to the store, both through the existing paths.

    Van Sales

  • Cash count at the desk

Float plus the cash the salesman took is what the cashier should be handed; M-Pesa and cheques are listed separately and the difference stays on the settlement.

    Van Sales

  • Route report

Sold value, returns, strike rate, drop size, stock variance and cash variance per settled load, for any date range or route.

    Van Sales

Credit control

  • Credit hold on orders

Off, warn or block per workspace: an over-limit or overdue customer's sales order is refused with the limit, the exposure and the overdue amount spelled out.

    Van Sales

  • Override on the record

An owner, administrator or manager releases one order with a written reason, which stays on the order and raises an alert.

    Van Sales

  • Credit limits and terms

Each account carries a limit and payment terms, and the customer page shows anyone over their limit.

    CRM

  • Ageing and statements

Debtors bucketed at 30, 60 and 90 days, with a printable statement per customer.

    Finance

  • Overdue chasing

The day an invoice goes late the customer gets a WhatsApp or SMS and the credit controller gets a task.

    Automations

Stock & warehouse

  • Multi-warehouse and van stock

Main store, pick face, returns, damaged and each van are stock locations, each with its own count and value.

    Inventory

  • Batch and expiry

Dated goods carry batch numbers and expiry dates, with an expiring report at 30, 60 and 90 days.

    Inventory

  • Earliest expiry goes first

Invoices, deliveries and the till draw the earliest in-date batch on their own, and refuse a sale that only expired stock could cover.

    Inventory

  • Units with conversion

Buy by the pallet or carton, sell by the carton, outer or piece.

    Inventory

  • Reorder points

A reorder point and quantity per item, and a low-stock report by supplier.

    Inventory

  • Counts and reasoned adjustments

Cycle counts by store; damage, expiry and variance post as adjustments with a reason.

    Inventory

Buying & delivery

  • Requisition, PO, GRN, bill

Purchase requests, approved purchase orders, goods received notes and supplier bills matched in sequence.

    Purchases

  • Delivery notes with signed POD

Part or full deliveries against an order; a delivered note raises the task to file the signed copy and invoice.

    Sales

  • Dispatch board

Orders by route and vehicle for the day, from picking to delivered.

    Projects

  • Margin by customer and SKU

Sales, cost and gross margin per customer, product and salesperson.
